A job application rejection email should leave the applicant clear about whether their application is still active. Sometimes an application ends because a vacancy has closed or hiring has stopped—not because the employer assessed the person and found them unsuitable. Say which situation applies.

These templates cover application-stage operational circumstances, without assuming an interview took place. Use only confirmed, approved status information. They are not substitutes for a required formal notice or a specialized HR process.

What to Include in a Job Application Rejection Email

  • The applicant's name, job title, company, and requisition reference where needed.

  • A brief thank-you for applying.

  • The verified reason this application is ending, without inventing an assessment or comparison.

  • A clear statement that the application is closed or will not progress.

  • Whether the applicant needs to do anything, plus an appropriate contact for questions or factual corrections.

  • The sender's name, title, and company.

Verify whether the application is closed, declined, or still active during a pause. Those statuses require different messages and should not be used interchangeably.

5 Job Application Rejection Email Templates

Choose the template that matches the situation:

  • Template 1: Filled role: Use only after the vacancy is actually filled.

  • Template 2: Canceled requisition: Explain that this role is no longer being recruited.

  • Template 3: Hiring freeze: Use only when this application is closing, not when it remains active during a pause.

  • Template 4: Incomplete materials: Verify the earlier request, deadline, and submission record before sending.

  • Template 5: Work arrangement: Check the advertised arrangement and the applicant’s actual stated availability before concluding there is a mismatch.

A hiring freeze does not necessarily mean a role is permanently removed. Resolve uncertainty about the application status and the relevant facts before communicating a final outcome.

Replace the bracketed details with verified information for this situation. Remove unused alternatives, keep the approved next step clear, and check that the message matches the accompanying records or documents.

1. Role Filled Before the Application Progressed

Use this when the position has been filled before this applicant progressed in the process. Do not describe a comparative evaluation that did not happen.

2. Requisition Canceled

Use this when the organization has canceled the vacancy. Describe the vacancy decision rather than presenting it as a judgment about the applicant's qualifications.

Subject: Closure of the [Job Title] vacancy

Dear [Applicant Name],

Thank you for your application for [Job Title] at [Company Name].

We have canceled this vacancy and are no longer recruiting for the position. As a result, we are closing your application. This update concerns the cancellation of the role, not a decision about your suitability for it.

Thank you for the time you invested in applying. We are sorry that the opportunity is no longer available.

3. Application Closed During a Hiring Freeze

Use this only when a confirmed hiring freeze covers the role and the approved decision is to close the application. If the application remains active, send a status update instead.

Subject: Hiring update for your [Job Title] application

Dear [Applicant Name],

Thank you for applying for [Job Title] at [Company Name].

A hiring freeze now applies to this position, and we are not moving forward with recruitment for it. We are closing your current application rather than keeping it pending. This closure is due to the hiring freeze, not an assessment of your qualifications.

No further action is needed from you, and you do not need to wait for a next step on this application. We cannot confirm whether or when recruitment for this role will restart.

If you have questions about the application status, please contact [Recruiting Contact and Email]. Thank you for your interest and the time you spent applying.

Kind regards,

4. Required Application Materials Remain Incomplete

Use this only after a clear, fair earlier request identified the necessary materials and a reasonable deadline. Verify receipt, resolve any reported access issue or outstanding request for support, and confirm the closure is approved under the applicable process. Do not invent a universal disqualification rule or use this for optional documents.

Subject: Closure of your application for [Job Title]

Dear [Applicant Name],

Thank you for your interest in the [Job Title] position at [Company Name].

On [Request Date], we asked you to provide [Required Application Materials] by [Deadline, Including Time Zone if Relevant] so we could complete your application. Our records show that [Outstanding Materials] have not been received.

Following that deadline, we are closing your application for this vacancy. You do not need to submit further materials for this closed application.

If you already sent the materials, or this notice does not reflect an arrangement agreed with our team, please reply to [Recruiting Contact and Email] with the relevant details so we can check the record.

Thank you for the time you spent on your application.

Kind regards,
[Sender Name]

5. Requested Work Arrangement Is Not Offered

Use this only when the advertised location or work arrangement is accurate, genuinely job-related, and confirmed as necessary for this opening. Confirm the applicant's stated availability directly; do not infer it from an address or personal circumstances. Resolve any accommodation-related question through the appropriate HR process before using this message.

Subject: Outcome of your [Job Title] application

Dear [Applicant Name],

Thank you for applying for [Job Title] at [Company Name].

As described in the job posting, this position requires [Confirmed Location and Work Arrangement]. You confirmed that you are seeking [Applicant's Confirmed Work Arrangement], which we are not offering for this vacancy.

We will therefore not be progressing your application for this position, and it is now closed. No further action is needed for this application.

If we have recorded your stated availability incorrectly, please contact [Recruiting Contact and Email] so we can check the information.

Thank you for considering [Company Name] and for the time you invested in applying.

Best regards,

How to Personalize Your Job Application Rejection Email

Verify the Application’s Actual Status

Replace placeholders with verified details and keep the email consistent with the application system. Include only an approved level of business context; a canceled requisition does not require a lengthy explanation of company finances. Confirm that the named contact can handle the questions described. Do not add automatic résumé-retention language or promise to restart an application later.

Distinguish Closure From a Temporary Pause

Check whether the application is being closed or remains active during a hiring pause. A temporary delay should not be described as a rejection, and a closed requisition should not be presented as an open opportunity.

Describe Missing Materials Accurately

Before citing incomplete materials, check submission records and any agreed extension. Identify only the information actually missing and avoid implying that a delivery or system error was the applicant’s fault.

Give a Usable Process Contact

Name the person or team able to resolve application-status questions. If the recipient challenges the stated facts, keep the reply in the authorized recruiting process rather than sending them between unrelated inboxes.

Job Application Rejection Email Checklist

  • Verify the recipient, vacancy, requisition reference, and approved closure decision.

  • Confirm whether the role is filled, canceled, frozen, or still open.

  • Distinguish an operational closure from an assessment of the applicant.

  • For missing materials, check the request, deadline, receipt history, and unresolved support requests.

  • For work arrangements, confirm the posting, job-related requirement, and applicant's actual statement.

  • Align the application record with the email; remove placeholders and check the reply route.

Common Job Application Rejection Email Mistakes to Avoid

  • Calling a closed application “on hold”: This suggests an ongoing process. Say whether the application is active or closed.

  • Using the same reason for every closure: A filled role is not a canceled requisition, and a freeze is not proof that another person was selected.

  • Adding fictional feedback: Do not mention interviews, comparative strengths, or a careful assessment when none occurred.

  • Treating an omission as proof: Missing materials may reflect a receipt or access problem. Verify the record before sending.

  • Assuming personal circumstances: Do not infer willingness to work at a location from residence, family circumstances, or other personal characteristics.

Frequently Asked Questions

Is a canceled vacancy the same as rejecting an applicant on merit?

No. Explain that recruitment for the role has ended and that the application is closing as a result. Do not describe the applicant as unsuitable when that is not the reason.

What if hiring is paused but the application is still active?

Send a hiring-status update, not the closure template. State the actual application status and share a next update point only if the team can honor it. Do not ask someone to wait indefinitely for an unconfirmed opening.

Can the email say the role was filled before this application was reviewed?

Only if that chronology is confirmed. If you know merely that the application had not progressed, use that narrower wording. Do not invent a comparison with the person hired.

What should happen if an applicant says the missing materials were submitted?

Check the submission and communication records through the established process. A factual correction deserves review; the email should not promise reopening or a particular result before that check is complete.

Should the email promise contact when another position opens?

Not by default. Closing the current application does not establish permission for a separate talent pool or guarantee future contact. Any future-opportunity process should be optional, approved, and explained separately.

Should I explain the company’s reasons for a hiring freeze?

Share only verified business context approved for applicants. The candidate needs a clear application outcome, not confidential financial details or speculation about when hiring may resume.

Can the same email announce that a role was canceled and invite a new application?

Only if a specific alternative vacancy and application process genuinely exist. Keep the canceled application’s outcome clear and make any new application optional rather than implying automatic transfer.
